Before you export
A useful PDF filename answers the questions someone will ask months later: what is this document, who or what does it concern, and when was it created? For invoices, a pattern such as client, invoice number, and date is easier to search than a scanner-generated code. For reports, put the project and reporting period before a version or sequence number.
Choose one date format and keep it sortable, preferably year-month-day when chronology matters. Remove labels such as final, final-2, or latest unless they follow a defined version system. If a document contains sensitive information, avoid copying private account numbers or personal data into the filename, because filenames can remain visible in folders, email attachments, backups, and shared links.
